I read your posting for administrative intern Position with interest. My experience aligns well with the qualifications you are seeking, in particular my role as an Admin Assistant at UN-HABITAT as well as a Procurement Officer both at Leonard Cheshire Disability and Nyanza Club and, I am adept in planning, organizing, prioritizing duties and I am certain I will make a valuable addition to your organization.
Currently, I am attached as an Administrative Assistant intern at UN-HABITAT, a position in which I have acquired significant and progressive experience. I support the Programme Assistant in financial management through ensuring that consultants have received their payment during payment period, claims have been reimbursed as well as preparing expense report. I also provide logistic support during workshops and assistance during travel i.e. request for quotations and follow up on approvals, procurement and contracting activities. In addition, I assist in managing of the office equipment and inventory. Significant results include promptness in ensuring that staff or consultants travels are done ahead of schedule, the Regional and Metropolitan Planning unit drive is organized thus enhancing easy retrieval of information. Another significant result includes successful update of the unit’s publications in to UN-HABITAT Intranet.
Working at UN-Habitat, assisting with administrative duties under the Programme Assistant enhanced my ability to communicate information in an office of over 30 individuals from different countries and cultural backgrounds. In addition, responding to inquiries and correspondence; planning logistics i.e. contributing to organization of expert meetings and preparation of field missions for staff and consultants also introduced me to the diligence of a fast-paced work environment. In terms of teamwork, training new interns requiring assistance with related duties developed my ability to clearly transfer information and work on collaborative projects with timely deadlines. As a procurement officer I was responsible for communicating and developing relationships with suppliers and other stakeholders, this involved several forms of written communication from emails as well as reports. Through leadership roles, I have also developed good verbal communication skills, needing to often be involved in negotiation with vendors as well as dealing with difficult situations involving other team members in a professional manner.
I have excellent knowledge in internet use and proficient in using MS Word, MS Excel, Lotus Notes, MS Outlook .I am always keen to learn new software applications and competent in quickly becoming familiar with new software.
