State why you are writing. Identify the position, field or general area of your inquiry. Tell how you heard of the opening or organization. If you have been referred, mention it here (if appropriate).

2nd Paragraph: Indicate your career or job objective and why you are particularly suited for this company or the type of work. Highlight one or two particularly relevant achievements and qualifications without repeating your resume word-for-word. Be sure to point out specific facts such as related work experience, coursework or training. Communicate to the employer that you understand the position and have the qualities the employer seeks. Be sure that you are addressing at least two key points from the job description (if available).

3rd Paragraph: Describe to the employer why you are interested in working for that particular company. Reasons should be based upon research done on the company and the industry. You must show the reader that you are aware of what their company’s unique characteristics are – what sets them apart from others and why it’s important to you. Be sure to elaborate on how you could add value to their organization, if not previously stated in 2nd Paragraph. Avoid writing “because I’ve used/watched/love your products/show….”

4th Paragraph: Your closing should reiterate your interest in the position and give specific information about how you can be reached.
